How to create Vouchers?

Let's learn how to create and manage Voucher — a key tool for handling prepaid packages for bookings, classes, and access at your sports center.

Packages-Vouchers allow you to offer clients a set of prepaid sessions or entries, making it easier to manage usage while encouraging customer loyalty. Ready to get started? Let’s go!

 

I. What is a Voucher?


A pass is a package that includes a set number of sessions, hours, or classes. Its main purpose is to let clients purchase multiple sessions in advance and use them under the conditions you define.

 

Main Features


✅ Used for bookings or classes — each use is automatically deducted

✅ The client pays when purchasing the pass, not per use

✅ Vouchers are tailored to specific services

 

Types of Vouchers


Matchpoint offers different types of passes based on the activity:

Booking Voucher: For court reservations
Private Lesson Voucher: For one-on-one sessions with a coach
Activity Voucher: For signing up for group events or activities
Access Voucher: For entry to specific areas of your facility

 


II. Creating and setting up a Voucher


Access the Voucher Configuration Menu


To manage vouchers, follow these steps:

Go to: Clients > General Rates > Vouchers
Choose the category of vouchers you want to view or edit. If no vouchers have been created yet, the list will be empty.

Add a New Voucher


Click New
A window will open with several tabs to configure your pass

 

 

III. General settings


In the General tab, fill in the following fields:

Code: Unique identifier for the pass
Name: Title describing the pass
Status: Active or inactive
Description: Brief summary of the pass
Duration: Can be defined in minutes or sessions
Expiration Date: Set a usage deadline if needed
Includes Lighting: Specify if the pass covers court lighting
Visible on Website: Enable this if you sell passes online through a payment gateway
Usage Restrictions: Decide if the pass is only for the owner or can be shared with guests
📌 Important: If the pass is sold online, check "Only usable if paid"

 


IV. Assigning Courts, Lessons, or Access


The voucher must be linked to the services it covers. Depending on the type of voucher, you can select:

Courts: For booking passes
Private Lessons: For one-on-one coaching passes
Activities: For group event passes
Access: For access to certain areas of the facility

 


V. Price Configuration


In the Prices tab, you can define different pricing options:


Add a New Price


Click New
Fill in the following fields:

Description: Name of the price
Validity Period: Leave blank for year-round validity
Priority Price: Mark this if the price should override others
Amount: Price charged for the pass
VAT and Billing: Configure accounting and tax details
💡 Tip: To apply different prices by client type, use the Conditions option

 

 

VI. Access Control and Usage Restrictions


Access Control


If your facility uses the Access Control module, you can assign an access profile to the pass. This limits entry to specific hours or areas.

 

Usage Limits


In the When can it be used? tab, you can define time restrictions.

🔎 Example: A pass that can only be used Monday to Friday, 08:00–16:00

 

Use Across Multiple Locations


If your club has multiple venues, you can specify which ones accept the pass

 

 

VII. Selling and Managing Vouchers


Once a voucher is configured, you can sell it in several ways:

 

From the Client Profile


Go to the Passes section within the client’s profile
Select the pass to sell
Choose the payment method:

Charge immediately
Invoice to collect later
Mark as paid (for complimentary or gift passes)

From Quick Access Icons


You can also sell passes directly from the Matchpoint quick access bar

 

View and Manage Sold Vouchers


To review purchased passes, go to:
Clients > Contracted Vouchers

From here, you can:

Filter by pass type or client
View remaining uses
Add or remove uses manually
Add additional beneficiaries
