Customer's profile

In this lesson, you will learn how to locate, view, and update a client’s profile within the Matchpoint system. This is an essential step in managing client information and interactions at your sports club. 


By the end of this lesson, you will be able to: 


 1. Locate a client’s profile using different search options. 

 2. Navigate through the profile sections to view, edit, and manage information. 

 3. Understand the available actions within each section of the profile’s side menu.


I. Locating a Client's profile

 

To access a client’s profile, go to the main menu Customers > Customers > Customers 

 

Search options

Use the client’s name, email address, or available filters to find them. 

You can also use the quick search icon in the Quick Access Bar.


Search results

If only one client matches your search, their profile will open automatically. 

If multiple results appear, click on the client’s code or the green edit icon to open the correct profile.


II. Inside the Client's profile

 

Once inside the client’s profile, you will find two main areas at the top of the screen: 

  • On the left: The client’s main details and profile photo (you can upload a new photo or capture one using the camera). 
  • On the right: The client’s available balance and outstanding debt.


Additionally, there is a side menu on the left with multiple sections. Below, we will explain each one of them.


General

 Here you can edit and update the client’s general details, assign a group/category and add notes or observations. 

 Don’t forget to save changes by clicking the "Save" button at the bottom of the page.

 

Additional information

This section contains secondary client details, divided into subcategories: 

  • Management: Includes details such as registration reason, billing client, privacy settings, legal policy acceptance, and communication preferences. If the client is underage, you can send an authorisation request to their guardian. You can also review the history of accepted policies.
  • Addresses: Add or edit the client’s address details.
  • Bank Accounts and Cards: Add the client’s IBAN or send a link to register card details (if tokenisation is enabled).
  • User Access: Manage the client’s login details for the app/website, reset passwords, send recovery emails, or block access if necessary.  If the client does not yet have access, there will be a button to "Register client on the extranet." If they already have access, you can view their username, last login date and time, account activation and deactivation dates, and failed login attempts. If needed, you can "Remove access" or send a password recovery email. There is also an option to manually reset the client’s password via "Reset password."Related People: Link family members (e.g., parents and children) and create family units for easier management via the app. 
  •  Additional Documents and Health Information: Store relevant information and record medical information if necessary.
     

Levels

Define the client’s skill level in the sports they practise at the club. 
This value comes in play when restricting access to certain activities or competitions based on their level. This is where you can update the client’s level, if needed.


Schedule

Check the client’s bookings, matches, and lessons—both past and future. 
Filter by status (active or cancelled) and activity type for detailed information.
 

Billing and collection

This section provides a complete breakdown of the client’s financial records: 

  • Sales and Payments: View and manage sales receipts and refunds.
  • Receipts: View invoices related to sales receipts. These may be pending or already paid. A single sales ticket may contain multiple invoices if payments are split. 
  • Receiving: When a sales ticket or invoice is paid, a record appears in this payment list. Each payment is stored with the payment method used and the user who processed it. 
  • Bank Charges: View invoices sent for direct debit payments and their status (pending, processed, paid, or cancelled). 
  • Balance: Register Top-ups, correct Balance manually or transfer Balance between clients. 
  • Debts: View and settle outstanding debts. You can also remove debts by cancelling their source (e.g., bookings or subscriptions).
     

Services

Check the client’s enrolments in courses or additional services (such as locker rentals). 

From here, you can access their Student Profile, check their paid subscription period, and enrol them in new services using the "Subscribe in…" option.


Memberships

 Manage active memberships and view inactive ones. 

 Perform actions such as adding members, invoicing fees, or cancelling a membership. 

 By clicking the green selection icon, you can view and manage the membership, including adding members, invoicing the next fee, or setting a cancellation date. 

 Next to the membership, find some additional icons: 

  • Magnifying glass: View the list of membership fees. 
  • Green banknotes icon: Collect the next fee. 
  • Red arrow icon: Unsubscribe the membership.

   
Vouchers/ Packages

 Packages include session or class bundles. 

 View active, expired, or used packages, and sell new ones from this section.


Championships and Access Control

(available only if your contract includes these modules)
 

Manage the client’s participation in championships or review their club access history.


Others

 Store related files, review sent communications, or check modules in development, such as training sessions.


III. Additional options

 

At the bottom of the client’s profile, you will find several options: 

  • Invoice charges: Generate payment documents for outstanding charges. 
  • Send communications: Send emails, push notifications, or SMS messages to the client (SMS requires a prepaid package). 
  • Observations: Add alerts that will automatically appear when opening the client’s profile. 
  • Deactivate or block: Disable or block the client as needed.
