Membership Fees

This module will help you efficiently and clearly manage your clients’ membership plans.

By the end of this lesson, you will be able to:

✅ Create a new membership plan

✅ Set up pricing options within each plan

 

I. Creating a Membership Plan

 

Accessing the Membership Module

Go to: Clients > General Pricing > Membership Fees

Here, you can review existing membership plans or create new ones by clicking the New button.

General Configuration of the Membership

When creating a new membership, fill in the following fields:

  • Name and description: Give your membership a name and short description
  • Active: Enable or disable the membership
  • Visible on web: Allow the plan to be purchased online (requires payment gateway)
  • Code: Assign a unique code to identify the plan
  • Rate name: Set the name of the membership fee
  • Grants member status: If checked, users with this plan will have exclusive benefits
  • Membership number format: Choose how membership IDs are formatted (🔎 Example: auto number, code/year, etc.)
  • Maximum number of members: Set a limit for the number of members
  • Days discounts remain valid after last payment: Define how long discounts stay active after the last payment
  • Days access remains valid after last payment: Set how long a member can keep access after their last paid fee
  • Max number of unpaid fees: Set a limit of missed payments before member status is lost
  • Days before notifying unpaid fees: Decide how many days after the due date the system should notify of non-payment
  • Seasonal membership: Enable this if the membership has a specific validity period

 

Once the plan is created, you’ll gain access to additional configuration options.

II. Setting Up Rates Within a Membership

 

Each membership can include different pricing tiers.

Creating a Rate

When you create a new membership, the rate list will be empty. To add rates:

Click New and complete the following fields:

  • Active: Enable or disable the rate
  • Visible on web: Allow the rate to be purchased online
  • Rate name: Name of the membership fee
  • Conditions: Description of the rate’s conditions
  • Enrollment fee: Initial sign-up cost (if applicable)
  • Individual fee: Check if it’s for one person; uncheck if it’s a family rate
  • Charge first fee with enrollment: Choose whether to charge the fee along with the enrollment
  • Prorate first fee: Adjust the first payment based on the start date
  • Fee amount: Total price of the membership
  • Max fee amount: Cap price for family rates
  • Payment in installments: Allow the fee to be split into partial payments
  • Payment frequency: Monthly, annual, etc.
  • Fee due date: Define the payment due date
  • Fixed due months: If due on specific months (🔎 Example: 5, 8, 11 for May, August, November)
  • Billing info: Configure VAT and invoicing series
  • Max age: If age-based, set the limit when switching to a different rate (this change happens via the Tools module)
  • Max number of members: For family rates only

Once created, you can view and edit additional rate details.

 

III. Advanced Rate Configuration

 

Once a rate is created, you’ll have more customization options:

 

Additional Options

  • Main Member Pricing: Set different pricing based on age or year
  • Additional Member Pricing: Add custom pricing for family members
  • Bonus Setup: Assign bonuses to be issued upon sign-up or renewal

IV. Other Membership Settings

 

From the membership settings, you can manage other key features:

📋 Activity Access: Define whether members can book certain services as part of their membership
📋 Access Control: If your club has access control, assign entry permissions to members
📋 Members: View a list of active members
📋 Centers Usage: If you manage multiple locations, assign which centers accept each membership

 

V. Managing Memberships and Rates in the System

 

After creating your plans and rates, here’s how to manage them:

Assign a membership to a client: From their profile or using the quick access bar
View active members: Go to Clients > Other listings > Members
Check subscribed services: Go to Clients > Memberships and Subscribed Services > Memberships
Client profile management: Under the Memberships section, view upcoming payments and collect them
Special pricing for members: Create exclusive rates for members only
Custom booking policies: Set exclusive booking rules for members
